1. What we collect
When you submit our contact form we collect: full name, job title (optional), organisation, phone number, email address, nature of inquiry, interested solution (optional), and the message you write. The form also automatically records your IP address, approximate country (derived from IP), and the type of device and browser used. We use this metadata to filter spam, route enquiries correctly, and report on regional demand.
2. Why we collect it
- To respond to your sales, support, partnership or general enquiry.
- To send you, with your consent, follow-up information about Parkomate products and services.
- To meet our legal and contractual record-keeping obligations.
- To improve our website by analysing aggregate usage patterns.
3. Lawful basis & consent
We process the information you submit on the basis of the explicit consent you give when you tick the consent checkbox on the contact form. You may withdraw consent at any time by emailing privacy@parkomate.com. Withdrawal does not affect processing already carried out on the basis of prior consent.
4. How long we keep it
Contact form submissions are retained for up to 36 months from the date of last contact, after which they are deleted unless retention is required for legal compliance. Aggregate analytics (with personal identifiers removed) may be retained longer.
5. Who can see it
Only authorised Parkomate sales and engineering staff can access submitted contact information, via a password-protected internal admin panel. Every administrative action is recorded in an audit log with timestamps. We do not sell, rent or share your information with third parties for marketing.
6. Security measures
- Data is stored in a hardened MySQL database with access restricted to specific server processes.
- All form submissions use HTTPS in production.
- Form inputs are validated and parameterised to prevent injection attacks.
- Admin authentication uses bcrypt-hashed passwords and short-lived session tokens.
- Submission rate is limited per IP to prevent abuse.
7. Your rights
Under the DPDP Act, 2023 you have the right to access the personal data we hold about you, to request correction or erasure, and to nominate a person to exercise these rights on your behalf in the event of death or incapacity. To exercise any of these rights, email privacy@parkomate.com.
